Ipswich Whoop Club Inc. (IWC) is an incorporated association based in Ipswich, Queensland, Australia. We operate the website at ipswichwhoop.club and the member portal. This policy explains what personal information we collect, how we use it, and how we protect it.

We collect the following personal information:

• Membership form: your full name, email address, phone number, date of birth and emergency contact details.
• Pilot portal account: your email address, password (stored securely by Firebase — we never see it), and any callsign or display name you set.
• Member builds: photos and gear descriptions you choose to share in the My Builds section of the portal.
• Contact form: your name, email address and the content of your message.
• Usage data: pages visited, time on site and general location (country/city level) collected anonymously via Google Analytics.

We use your information only for the following purposes:

• Processing and managing your club membership.
• Sending you club communications such as event notices, results and announcements.
• Providing access to the member portal and your pilot profile.
• Responding to enquiries submitted via the contact form.
• Meeting our obligations as an incorporated association under Queensland law.
• Improving the website based on anonymised usage data.

We will never sell your personal information or use it for advertising purposes.

We use the following third-party services to operate the club:

• Google Firebase — stores member accounts and pilot profiles. Photo uploads are stored in Firebase Storage. Data is held in the Australia Southeast region. Firebase Privacy Policy.
• Google Analytics — collects anonymised website usage data. No personally identifiable information is sent. Google Privacy Policy.
• Formspree — handles contact form submissions. Formspree Privacy Policy.

Photos and build descriptions you upload through the member portal are stored in Firebase Storage. You control whether your builds are visible to other members (public) or only to yourself (private) using the toggle in the My Builds section.

Public builds are visible to other logged-in members only — they are not accessible to the general public. You can delete your builds at any time from the My Builds page.

We take reasonable steps to protect your personal information. Passwords are managed securely by Google Firebase using industry-standard encryption — we never have access to them. Our website is served over HTTPS.

If you become aware of any security issue please contact us immediately at ipswichwhoopclub@gmail.com.

We keep membership records for the duration of your membership and for a reasonable period afterwards in line with our obligations as an incorporated association. If you request deletion of your account we will remove your personal information from our active systems within 30 days, except where we are required by law to retain it.

You have the right to:

• Request access to the personal information we hold about you.
• Request correction of any inaccurate information.
• Request deletion of your account and associated data.
• Unsubscribe from club communications at any time.

To exercise any of these rights, email ipswichwhoopclub@gmail.com. We will respond within 14 days.

Junior members (under 18) may join with parental or guardian consent. We collect a parent or guardian's contact details on the membership form. We do not knowingly collect personal information from children without appropriate consent.

We may update this policy from time to time. When we do we will update the date at the top of this page. Continued use of the website after any changes constitutes acceptance of the updated policy.
